Coaching Services – Not Clinical Psychological Services

Your privacy is important to me. This Privacy Policy explains how I collect, use, disclose, and safeguard your information when you visit this website or participate in my coaching program. These coaching services are separate from my clinical practice and do not constitute psychological or mental health treatment. As such, the information collected here is not considered Protected Health Information (PHI) and is not governed by HIPAA or the Illinois Mental Health and Developmental Disabilities Confidentiality Act (IMHDDCA).

1. Information I Collect

When you visit this website or engage with coaching services, I may collect the following types of information:

2. How Your Information is Used

Your information may be used to:

  • Respond to questions, requests, or comments

  • Schedule and manage coaching sessions

  • Provide coaching support and content

  • Process payments and send confirmations

  • Improve the functionality and user experience of the website

I do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Coaching vs. Therapy

This website includes information about both therapy and coaching services offered by Dr. Diana M. Rothermel, Psy.D. While I am a licensed clinical psychologist in the State of Illinois, it is important to understand that therapy and coaching are distinct services with different purposes, structures, and legal protections.

Therapy is a clinical service regulated by state and federal laws (including HIPAA and the Illinois Mental Health and Developmental Disabilities Confidentiality Act). Therapy is available only to clients located in Illinois and involves the diagnosis and treatment of mental health conditions.

Coaching, on the other hand, is not therapy, counseling, or psychological treatment. Coaching is an educational, motivational, and goal-oriented process designed to support personal growth and improve everyday functioning. Coaching services are not regulated by mental health laws, are not protected by HIPAA, and do not establish a therapist-client or doctor-client relationship.

If you are seeking mental health treatment, please refer to the therapy section of this website. If you are in crisis or need immediate support, please contact a licensed mental health professional or call 911.

4. Protection of Your Information

I implement reasonable physical, administrative, and technical safeguards to protect your personal data. However, please note that:

  • Coaching information is not stored in HIPAA-compliant systems

  • Communications via standard email or web forms are not encrypted

  • You should avoid sending sensitive personal or mental health information via email

5. Cookies and Tracking Technologies

This website may use cookies, tracking pixels, and analytics tools (such as Google Analytics) to improve performance and understand user behavior. These tools do not collect identifying personal or coaching-related information. You can manage cookie preferences in your browser settings.

6. Third-Party Platforms

If coaching services involve scheduling, communication, or payment through third-party providers (such as Calendly, Stripe, or Fullscript), those platforms operate under their own privacy and security policies. You are encouraged to review those policies before using those services.

7. Limits to Confidentiality

While coaching is a private process, it is not confidential in the legal sense. Information you share may be disclosed:

  • If required by law (e.g., threats of harm to self or others, court orders)

  • To comply with legal obligations or protect rights and safety

  • If you provide written consent to share information with another party
